1. Who we are

Dublin Ranch Dental is a dental practice located at 3704 Dublin Blvd, Dublin, CA 94568, owned and operated by Dr. Prajesh Desai, DDS. This Privacy Policy applies to the website dublinranchdental.com. Our handling of protected health information inside the practice is governed by our separate HIPAA Notice of Privacy Practices.

2. What this policy covers (and what it doesn’t)

This policy covers information collected through this website — appointment-request and contact forms, anonymized site analytics, and cookies. It does not cover protected health information (PHI) we handle inside the practice during treatment; that is governed by the federal HIPAA Privacy Rule and our separately-provided Notice of Privacy Practices.

3. Information we collect through this website

• What you voluntarily submit — your name, phone number, email address, preferred appointment type, preferred time, and any optional note you choose to share via the appointment-request or contact forms.
• What your browser sends automatically — standard log entries such as URL viewed, referring page, device type, browser version, and an anonymized IP address. We use this for security and basic site improvement only.
• What we do not collect — we do not knowingly collect Social Security numbers, financial-account numbers, insurance ID numbers, medications, diagnoses, or any other protected health information through this website. Please do not submit any of those through the forms on this site.

4. How we use the information

• To respond to your appointment request or inquiry within one business day.
• To schedule your appointment and confirm logistics.
• To improve the website and the new-patient experience.
• To comply with legal obligations applicable to a California dental practice.
• We do not sell, rent, or share personal information with third parties for their own marketing.

5. Email is not a secure channel

Submissions through the contact and appointment-request forms on this website are delivered by email. Standard email is not an encrypted channel suitable for protected health information. If you need to discuss medical history, medications, conditions, or anything sensitive, please call us at (925) 999-9088 or share it in person at your visit.

6. Third-party processors

To operate this site we use the following vendors, each subject to its own privacy practices:

• Netlify (or comparable static host) — serves this website over HTTPS with TLS encryption.
• FormSubmit.co — forwards form submissions to our practice inbox. FormSubmit’s practices are described at formsubmit.co. FormSubmit.co is not a HIPAA Business Associate. This is why we ask you not to share PHI through the form.
• Google Fonts — loads two web fonts. Google’s font-serving privacy notice is at developers.google.com/fonts/faq/privacy.

For website hosting and general business operations we use industry-standard cloud providers under written service agreements that prohibit secondary use of customer data. Where a vendor handles protected health information for us inside the practice, we maintain a written Business Associate Agreement with that vendor as required by HIPAA.

7. Cookies, analytics, and Do-Not-Track

We use a small number of essential cookies needed for site functionality (form submission, prefers-reduced-motion preference, accessibility settings). We do not use advertising, retargeting, or behavioral-tracking cookies. We honor the “Global Privacy Control” browser signal and the “Do Not Track” header where present. You may disable non-essential cookies in your browser at any time without losing functionality.

8. Your privacy rights under California law

If you are a California resident, the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) provide the following rights, subject to certain exceptions:

• Right to know what categories of personal information we collect about you, the sources, purposes for collection, and any third parties we share it with.
• Right to access the specific personal information we hold about you.

We may need to verify your identity before disclosing personal information. Dental treatment records retained for clinical or legal reasons are also subject to separate retention requirements under California Business and Professions Code §1680, the California Medical Information Act, and HIPAA.

9. California “Shine the Light” law

California Civil Code §1798.83 permits California residents to request a list of categories of personal information shared with third parties for direct marketing. We do not share personal information for third-party direct marketing.

10. Children’s privacy

This website is intended for adults. We do not knowingly collect personal information from children under 13 through this website. Parents and legal guardians who book appointments for minor children remain the responsible custodian of that information.

11. Data security

This website is served over HTTPS with modern TLS encryption. We follow administrative, technical, and physical safeguards reasonably designed to protect the information we handle. No method of transmission over the internet is 100% secure, however, and we cannot guarantee absolute security. If you suspect any unauthorized access to your information, please contact us immediately.

12. Data retention

Voluntary submissions received through this website are retained in our practice inbox for as long as needed to respond to and follow up on your request, after which they may be archived per ordinary email-retention practice. Dental treatment records are retained for the period required by California law, generally at least seven years past the last visit, and longer for minors.

13. Medical & clinical disclaimer

All content on this website is provided for general informational and educational purposes only. It is not a substitute for professional dental evaluation, diagnosis, or treatment. Your treatment plan and expected outcomes will be discussed individually during your consultation.

15. Reviews and patient photos

Patient reviews shown on this website were left publicly on Google or other platforms by the patients themselves. We do not republish reviews containing identifiable health information without the patient’s written authorization where required by HIPAA. Before-and-after smile photos shown on this website are either stock cosmetic-dentistry images, or were provided by patients who signed a written authorization for promotional use. If you believe a review or photo has been used in error, please contact us at dublinranchdental@gmail.com.

16. Linked external sites

This website may contain links to external sites (for example, Google Maps, Google Fonts, or third-party review platforms). Once you click an external link, you are subject to the privacy policy of that site, not ours.

17. Changes to this policy

We may update this Privacy Policy from time to time. The “last updated” date below reflects the most recent revision. Material changes will be summarized at the top of this page for at least thirty days following the change.
